Terms of Service
Please read these Terms of Service ("Terms") carefully before using Inbox Search ("the add-in", "the service"). By installing or using the add-in, you agree to be bound by these Terms. If you do not agree, do not install or use the add-in.
1. Description of Service
Inbox Search is an Outlook add-in that uses on-device AI to provide fast, semantic search across your email mailbox. All AI processing takes place locally on your device. No email content is transmitted to our servers. The add-in integrates with Microsoft Outlook via the Microsoft Graph API and requires a Microsoft 365 account.
Inbox Search is available on a free plan, and will offer an optional paid plan ("Pro"). The plans, and what is included in each, are described in section 4.
2. Acceptance of Terms
By installing or using Inbox Search, you confirm that you are at least 13 years of age (or 16 in the EEA), that you have the legal capacity to enter into a binding agreement, and that you accept these Terms in full. If you are using the add-in on behalf of an organisation, you represent that you have authority to bind that organisation to these Terms.
3. Acceptable Use
You may use Inbox Search for personal or business email search in Microsoft Outlook. You agree not to:
- Reverse engineer, decompile, or attempt to extract the source code of the add-in
- Use the add-in in any way that violates applicable law or regulation
- Interfere with or disrupt the integrity or performance of the service or its infrastructure
- Use the add-in to access emails you do not have authorisation to access
- Attempt to circumvent any security measures or access controls
4. Plans, Finds, and Fair Use
Free plan. Inbox Search is free to install and use. The free plan includes unlimited keyword search, unlimited mailbox indexing, and a daily allowance of AI-powered semantic searches.
What counts against the allowance. The allowance is measured in finds. A find is counted only when both of the following happen: (a) a search uses AI-powered semantic matching, and (b) you open one of the results that search returned. Searches that return nothing useful, searches you abandon, searches answered by the preview text alone, and keyword-only searches do not count. Opening several results from the same search counts as one find, and repeating the same search within a short window does not count again.
When the allowance is used up. AI-powered semantic search pauses for the remainder of the day. Keyword search, indexing, and all other features continue to work normally. The allowance resets daily at 00:00 UTC.
Pro plan. Pro removes the daily limit on finds. Current prices and the current free allowance are shown in the add-in and on our website, and form part of these Terms.
Current status. The daily allowance is not yet in force and Pro is not yet on sale. Every feature is currently available to all users without limit. Sections 4, 5 and 6 describe how the plans will work once they launch, and we will give notice in the add-in before any limit begins to apply.
Changes to the allowance. We may change the size of the free daily allowance. If we reduce it, we will give reasonable notice through the add-in or by email where we hold your address. Your rights in respect of a paid subscription are set out in sections 5 and 6.
Fair use. We may apply reasonable technical limits to protect the service from automated or abusive use. We do not apply usage limits to Pro subscribers in normal individual use.
5. Payment, Billing, and Our Payment Provider
Polar is the seller of record. Payments for Pro are processed by Polar Software Inc. ("Polar"), acting as our authorised reseller and Merchant of Record. When you purchase Pro, your purchase contract for that transaction is with Polar, and Polar's own terms and privacy policy apply to the payment. Polar is responsible for billing, payment processing, and the collection and remittance of applicable sales taxes and VAT.
Prices and taxes. Prices are displayed at checkout in the applicable currency. Depending on your location, VAT or sales tax may be added at checkout and will be shown before you confirm your purchase.
Subscriptions renew automatically. Pro is a recurring subscription. Unless you cancel before the end of the current billing period, it renews automatically for a further period of the same length, at the price then in effect, and the payment method you provided will be charged. You will be told the renewal frequency at checkout.
Cancelling. You may cancel at any time from the "Manage subscription" link in the add-in's settings, or through the customer portal link in your purchase confirmation email. Cancellation stops future renewals. Your Pro access continues until the end of the billing period you have already paid for; it is not cut short and, except as set out in section 6, the current period is not refunded pro rata.
Failed payments. If a renewal payment fails, we may retain Pro access for a short grace period while payment is retried. If payment is not completed, the subscription reverts to the free plan. No data is deleted when this happens.
Price changes. We may change subscription prices. Any change will apply from your next renewal, and we will give you at least 30 days' notice by email before it takes effect. If you do not accept the new price, you may cancel before it applies.
6. Right of Withdrawal and Refunds
Consumers in the EU, EEA, and UK. If you are a consumer, you normally have the right to withdraw from a distance contract within 14 days without giving a reason.
Because Pro is digital content supplied immediately, at checkout you will be asked to expressly request immediate performance and to acknowledge that, once performance has begun, you lose your right of withdrawal in respect of the content supplied. If you do not give that consent, supply begins after the 14-day period ends.
Where the right of withdrawal still applies, you may exercise it by contacting hello@inboxsearch.app or by using Polar's customer portal. Refunds are returned to your original payment method.
Discretionary refunds. Separately from any legal right, if Pro has not worked for you, contact us within 30 days of the charge and we will refund it. We would rather refund you than have you pay for something that did not help. Refunds are issued by Polar as Merchant of Record.
Statutory rights. Nothing in these Terms affects your mandatory rights as a consumer under the law of your country of residence, including rights in respect of digital content that is not as described or not of satisfactory quality.
7. Microsoft Account and Graph API
The add-in requires you to authenticate with your Microsoft account via OAuth 2.0. You are responsible for maintaining the security of your Microsoft account credentials. The add-in requests only the minimum permissions required to function. You can revoke these permissions at any time via myapps.microsoft.com.
8. Disclaimer of Warranties
The add-in is provided "as is" and "as available", without warranty of any kind, express or implied. We do not warrant that:
- The add-in will be uninterrupted, error-free, or available at all times
- Search results will be accurate, complete, or suitable for your purposes
- The add-in will be compatible with all versions of Outlook or all operating systems
- Any defects will be corrected
You use the add-in entirely at your own risk and discretion.
9. Limitation of Liability
To the maximum extent permitted by applicable law, the developer of Inbox Search shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising out of or in connection with your use of the add-in, including but not limited to:
- Inability to find specific emails or inaccurate search results
- Unauthorised access to your Microsoft account
- Interruption or unavailability of the service
- Any other loss or damage arising from your use of the add-in
In any event, the developer's total aggregate liability to you for all claims arising out of or in connection with the add-in shall not exceed the greater of €100 (one hundred euro) or the total amount you paid us in the twelve months preceding the claim.
Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot lawfully be excluded or limited. If you are a consumer, your mandatory statutory rights are unaffected.
10. Intellectual Property
All intellectual property rights in the add-in, including but not limited to source code, design, and documentation, are owned by the developer. These Terms do not grant you any rights to our intellectual property other than a limited, non-exclusive, non-transferable licence to use the add-in for its intended purpose.
11. Termination
You may stop using the add-in at any time by uninstalling it via Outlook's add-in manager. We also reserve the right to terminate your access to the add-in if you breach these Terms.
We may discontinue the service or modify its features. If we discontinue the service, or materially reduce the features of a paid plan, we will give you reasonable notice and refund the unused portion of any subscription period you have already paid for.
Uninstalling the add-in does not by itself cancel a Pro subscription. Cancel it as described in section 5 to stop future renewals.
12. Changes to These Terms
We may update these Terms from time to time. The "last updated" date at the top of this page will reflect any changes. Continued use of the add-in after changes are posted constitutes your acceptance of the revised Terms.
13. Governing Law and Disputes
These Terms are governed by and construed in accordance with the laws of Belgium.
If you are a consumer, this choice of law does not deprive you of the protection of any mandatory provisions of the law of the country in which you habitually reside. You may bring proceedings in the courts of Belgium or in the courts of your country of residence, and we will bring any proceedings against you in the courts of your country of residence.
If you are using the add-in in the course of a business, the courts of Belgium have exclusive jurisdiction over any dispute arising in connection with these Terms.
14. Severability
If any provision of these Terms is found to be unenforceable or invalid, that provision will be limited or eliminated to the minimum extent necessary so that the remaining Terms remain in full force and effect.

Payments for Pro are handled by Polar Software Inc. as Merchant of Record, as described in section 5.
If you are a consumer in the EU and we cannot resolve a complaint directly, you may submit it through the European Commission's Online Dispute Resolution platform at ec.europa.eu/consumers/odr.
